Subject: IMPORTANT: Re: upcoming AATAC run Dear [Please confirm receipt of this email.] You have scheduled AAT time coming up on . I am the AAO Support Astronomer for your run and you should liaise with me on any of your instrument or support requirements. You will find important travel and other information at the Guidelines for AAT Observers WWW page at http://www.aao.gov.au/astro/observing.html Information about the AAO's instrumentation is available at http://www.aao.gov.au/astro/instrum.html I have attached a copy of the Instrument Request Form (IRF) we currently have on file for your proposal. Please review the attached IRF, and inform me as soon as possible of any changes or updates that are needed. Observers are advised to arrive at least the day before their first scheduled night. Instrument setup generally starts at about 2pm of the afternoon of your first night's observing in order to be ready for observations to start after sunset. I would be grateful if you could also advise me of your likely travel plans, so we can arrange a time and place to meet at the AAT. Your program will have been scheduled for one of three levels of support, as noted on the AAT Schedule. N - No astronomical support will be provided at the telescope, but I will provide support as required before and after your run. F - First night astronomical support will be provided at the telescope. I will be available to assist with introduction to the AAT, your instrument, and instrument set-up from 1pm in the afternoon of your first night. I will make myself available at the telescope to help you during your first night, until you are sufficiently confident with the instrumentation for me to depart. I any case, I will not leave the AAT until after 1am on your first night of observing. Y - Full support will be provided on all nights of your run at the telescope. I will be available to assist with introduction to the AAT, your instrument, and instrument set-up from 1pm in the afternoon of your first night. I will make myself available at the telescope to help you throughout your run. (A fourth category of support (A) implies an AAO staff member is a co- investigator on the proposal and will have full responsibility for all support issues for that program.) You will be asked to fill an Observer's Report Form at the end of your run. This information is used for both tracking our support performance, and identifying key items for upgrade at the AAT. It is essential that you fill it in at www.aao.gov.au/cgi-bin/make_obs_form . Finally, we would like to invite you to visit the AAO Laboratory in Epping, Sydney, during your trip, and hopefully give us a seminar. Too many visiting observers go straight up to the telescope and leave immediately after their run! A diverse range of research is pursued by the astronomers in Epping and we are always very interested to hear about research projects involving both our own and other facilities. Funding is available from the AAO for a night's subsistence and accommodation in Sydney to assist this. Yours sincerely, ____________
