FINANCIAL ARRANGEMENTS WITH AAO
Could you please adhere to the following instructions, which I will also put on the project page:
A) For payment INTO the AAO account
A.1 When the project office (any two of ND, MA and KCF) deems that funds are needed in the account, ND will inform the appropriate contact person by email. At the same time ND will ask the AAO to fax you a bill.
Typically the bill will have this format:
=======================================================================
Letterhead (AAO)
Addressee (e.g. Roberto Gilmozzi
ESO
Address)
Date
Invoice number
Item (e.g. Construction of optics as part
of WPD20 for the Planetary
Nebula Spectrograph)
Amount (in YOUR currency e.g. DM 20000.00)
Payment details (Bank draft or credit card - ignore
the instruction to pay in Australian Dollars)
=======================================================================
A.2. After receipt of the invoice the funds should be transferred as
quickly as possible to the AAO, mentioning the invoice number. Email ND
when you have received the invoice and when you have initiated payment.
AAO will compute the conversion and inform ND of how much, in $A, has
been received.
B) For payment of bills FROM the AAO account
B.1 Ordering equipment, or paying for contractual work, requires authorisation from two of ND, MA and KCF and by the person following the contract, e.g. Keith in the case of WPD10.
B.2 When you expect to be billed, inform ND. Make sure that the bill is addressed as follows:
======================================================================= Joan Wilcox Anglo-Australian Observatory P.O. Box 296 Epping 2121 Australia PN.Spectrograph WPD xx =======================================================================-- it is important to include the words "PN Spectrograph" and the Work Package Description number. The bill should be in the currency agreed to when placing the order. AAO will compute the conversion and inform ND of how much, in $A, has been paid.
Contact with the AAO on the matter of financial transactions should take place only through ND, please. Refer also to my email of Sep 23, 1999.
